After syncing timecards from HCSS, pre-bills are displayed in the Pre-Bill List Screen. This is your central workspace to review, fix, and manage pre-bills before transferring them into the EWBills billing system.
The screen is split into two primary sections:
Top (Pre-Bill Header) – Displays individual pre-bills, including status, source timecard details, notes, and bill summary.
Bottom (Charge Details) – Displays associated Labor, Equipment, and Material charges for the selected pre-bill.
You can control what appears in both the pre-bill and charge sections using built-in filters:
All Open Pre-Bills
Transfer Ready
Need Fixing
Excluded
Transferred
All Charges
Need Fixing
Excluded
These filters help isolate records that are ready to move forward, require manual attention, or were intentionally excluded from processing.
Above the Pre-Bill List are three additional buttons:
You can also access all three options by right-clicking a pre-bill header row.
EWBills allows you to manually correct or adjust imported timecards before transfer. For example:
Change hours or rates on a charge line.
Edit notes, cost codes, or other header details.
Once you make a manual change, the system locks that timecard.
A lock icon appears on the pre-bill and any affected charge lines.
A single timecard split across multiple pre-bills will lock all related pre-bills.
You can see which pre-bills are affected by opening the pre-bill, the list labeled Other Pre-Bills for this Time Card.
The HJ column in the Pre-Bill List shows a marker when the timecard has changed in HCSS but is locked in EWBills.
These changes will not be auto-imported to avoid overwriting your manual work.
You may want to review these items manually.
Unlock – Clears all manual edits and restores the timecard to its latest HCSS version.
Reset – Resets the timecard to its latest HCSS version
Tip: Use Reset if you've made a change in HCSS and want to immediately refresh just that one pre-bill.
Refresh – Checks for and imports any new or changed timecards for the job.
